This policy explains what personal information we collect when you contact Moss Air Conditioning or ask for a quote, why we collect it, and the rights you have over it. We keep it plain and we keep it short.

Moss Air Conditioning ("we", "us", "our") is a domestic air conditioning business based in Woodford Green, London. For the purposes of UK data protection law we are the "data controller" of the personal information you give us.

What information we collect
We only collect information you choose to give us, plus a little basic technical data. Specifically:
- Quote and enquiry details — your name, phone number, email address, postcode and a description of the work you need, submitted through our contact form or given to us by phone or email.
- Correspondence — any emails, texts or messages you send us, and our replies.
- Job records — where we carry out work, the address, the units installed and servicing history, so we can support you afterwards.
- Technical data — when you visit this website, our hosting provider may log standard information such as your IP address, browser type and the pages you view, for security and to keep the site running.
Our contact form opens your own email app with the details filled in — so when you send an enquiry it reaches us as an ordinary email. We do not run trackers or advertising profiles on this site.
How we use your information & our lawful basis
Under UK GDPR we must have a lawful basis for using your data. We rely on:
- To respond to your enquiry and prepare a quote — lawful basis: taking steps at your request before entering a contract.
- To carry out and support the work you book — lawful basis: performance of our contract with you.
- To keep records for warranty, servicing and legal/tax obligations — lawful basis: legal obligation and our legitimate interests in running the business properly.
- To improve our service and, occasionally, to check you were happy with the work — lawful basis: our legitimate interests. You can opt out any time.
We will only send you marketing if you have asked us to, and you can unsubscribe whenever you like.
Who we share it with
We do not sell your data and we do not share it for anyone else's marketing. We only pass it to trusted parties where it is necessary to do our job, including:
- Our email and IT providers, who store our correspondence securely on our behalf.
- Our website hosting provider, which serves this site and keeps standard security logs.
- Equipment manufacturers or suppliers, where needed to register a warranty on a unit we install for you.
- Our accountant, and HMRC or other authorities, where the law requires it.
Anyone who processes data for us is required to keep it secure and use it only for the purpose we give it to them.
How long we keep it
- Enquiries that don't lead to work: up to 12 months, then deleted.
- Customer and job records: for as long as you are a customer and up to 6 years afterwards, to cover warranties, servicing and our legal and tax obligations.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct anything that is wrong;
- ask us to delete your data where we no longer need it;
- object to, or ask us to restrict, how we use it;
- ask us to transfer your data to you or another provider; and
- withdraw any consent you have given us.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113, though we would appreciate the chance to put things right first.
Other websites and third-party content
This site loads a small amount of content from third parties — web fonts, a map on our contact page, and photography. These providers may receive your IP address in order to deliver that content. Our Cookies Policy has the detail. We are not responsible for the privacy practices of external sites we link to.
Keeping your data safe
We use reputable providers, keep our devices secured and limit access to your information to staff who need it. No method of transmission over the internet is completely secure, but we take reasonable steps to protect what you send us.
Changes to this policy
We may update this policy from time to time. When we do, we will change the "last updated" date at the top. If the changes are significant, we will make that clear.
